Financial Beginnings USA (FBUSA) is a national nonprofit that teaches individuals how to play an active role in their financial well-being. Developing this knowledge increases life opportunities such as home ownership, higher education, and secure retirement while contributing to the economic resiliency of individuals, families, and our shared communities.

The Financial Beginnings mission is to empower youth and adults to take control of their financial futures. FBUSA fulfills this mission through its affiliate model, extending programming to more communities via local, on-the-ground teams. These statewide affiliate teams, along with their volunteer networks, deliver FBUSA financial education programming that is continually tested, revised, and improved to ensure mission alignment and learner impact. Currently, two affiliates are well-established in Oregon and Washington; two new chapter offices opened in California and Nebraska in 2020. Programming continues to grow in unaffiliated states as well.

Job Purpose

The Office Assistant/Administrator is responsible for providing clerical and program support to the Financial Beginnings USA team to maintain an efficient office and organization environment. Ideal candidates are detail-oriented, highly organized and efficient, and team-minded. They need to be comfortable with web and cloud-based systems and email, and must be able to work confidently to support current and new projects. This position reports directly to the Chief Operating Officer, but will work closely with all members of the Financial Beginnings USA team. This position requires at least one year of administrative experience.

Primary Resposibilities


  • Monitor incoming email/mail/voicemails and direct to appropriate staff
  • Coordinate and organize appointments and meetings, preparing conferencing technology when needed
  • Update and maintain internal and external contact lists and organize and mail stakeholder letters
  • Collect content from staff for monthly all-staff newsletter
  • Compile and distribute monthly digital document board packages
  • Monitor and maintain office supplies and ensure office equipment is properly maintained and serviced
  • Maintain digital and hardcopy office filing and storage system
  • Manage benefit open enrollment and new hire processes
  • Receive shipments and packages


  • Assist with event planning and special project implementation
  • Track current and future projects in alignment with the strategic plan
  • Manage the storage, inventory, and distribution of student workbooks across the country
  • Audit programs and generate monthly and quarterly dashboards
  • Assist with new technology (software) implementations
  • Curate relevant articles to share with various teams
  • Perform other duties as they develop

  • Communicate and collaborate seamlessly in both face-to-face and digital (online) interactions

Skills, Education, and Qualifications

  • High school diploma or equivalent and a minimum of one year of administrative experience
  • Experience working with Office Suite software and Google Workplace applications
  • Strong written communication skills
  • Ability to work independently and be accountable for various tasks and projects
  • Highly organized and detail oriented

Special Requirements

  • Able to frequently move boxes weighing up to 35 pounds
  • Possess an automobile and a valid driver's license
  • Recognition of education's value and a passion for improving communities and serving populations in need

Status and Compensation

  • Compensation: $25 per hour
  • Half-time, 20 hours per week
  • Location: Portland Metro (in office/remote hybrid)
  • Schedule: Monday through Friday; flexible weekday schedule
  • Travel: None
  • PTO: 136 hours per year, which includes all personal, vacation, holiday, and sick time
  • Monthly computer/cell phone allotment

Most Financial Beginnings staff and teams currently work 100% remotely. However, this position will require at least partial time in the office.
